Your data.
Handled properly.
Last updated: 24 September 2026. This notice explains how VM Performance handles personal information collected through this website, pre-exercise health screening and its personal training, nutrition and online coaching services.
1. Who is responsible for your information
VM Performance, operated by Vadím Musaev, is the data controller for the personal information described in this notice. Privacy questions and requests can be sent to contact@vmperformance.co.uk.
2. Information we collect
We may collect your name, date of birth, contact and emergency-contact details, enquiry and discovery-call answers, booking and payment records, correspondence, and technical information about how you use this website. If you complete our pre-exercise health screening or become a client, we may collect the health conditions, symptoms, injuries, medication, pregnancy-related information, relevant professional guidance, lifestyle, nutrition, training, progress and check-in information that you provide. Please give only information relevant to safe exercise and your coaching.
3. How and why we use it
We use information to respond to enquiries, arrange calls, assess the suitability of coaching, enter into and deliver coaching agreements, plan and adapt exercise, identify matters we should discuss before training, contact your emergency contact if necessary, communicate with you, administer payments and records, protect the website, meet legal obligations and—with permission—understand website use. A disclosed health concern prompts review by a coach. A questionnaire answer does not automatically grant medical clearance or make a medical diagnosis.
4. Our lawful bases
We process ordinary personal information where it is necessary to take steps at your request before a contract, perform a contract, comply with a legal obligation, or pursue legitimate interests such as operating and improving the business and responding to enquiries. We use consent where required, including for optional analytics. Health information is special-category data. For the pre-exercise screening and coaching information you submit, we ask for your explicit consent as the separate condition for processing that health data. You may withdraw it by contacting us at any time. Withdrawal does not undo earlier lawful processing; it may mean we cannot safely provide some coaching services. We may retain information where another lawful basis and special-category condition apply, for example to establish, exercise or defend a legal claim.
5. Forms, analytics and cookies
Discovery-call and pre-exercise screening answers are collected through Typeform. Screening responses may be copied into a restricted Google Sheets and Google Drive client record for review and storage. Please do not submit emergency requests through a form; contact the appropriate emergency service. If analytics is enabled, Google Analytics 4 is loaded only after you accept optional analytics cookies. It helps us understand visits, pages viewed and general device information; it is not used to make automated decisions about you. Your choice is saved on your device and can be reset by clearing site data in your browser.
6. Who receives information
We may use trusted providers for website hosting, Typeform forms, Google cloud storage, email, scheduling, Stripe payments, Kahunas coaching administration and analytics. Providers receive information only as needed to provide their service. An appropriately qualified healthcare professional receives information only if you choose to share it or another lawful reason applies; we may instead ask you to seek their advice yourself. We do not sell personal information. Where a provider processes information outside the UK, we rely on an applicable safeguard such as UK adequacy regulations or contractual protections.
7. How long we keep it
Unsuccessful enquiry information is normally reviewed and deleted within 12 months. Client, contract and payment records may be retained for up to six years after the relationship ends where needed for legal, tax or dispute purposes. We review pre-exercise screening and other health records when coaching ends and normally delete or anonymise them within six years, sooner where no longer needed. We may keep a limited record longer where a legal claim, safeguarding concern or legal requirement makes that necessary. Access to health records is restricted to those who need it for the stated purposes.
8. Security
We use reasonable technical and organisational measures to protect personal information and limit access to people and providers who need it. No internet service can guarantee absolute security, so please avoid sending unnecessary sensitive information by ordinary email or social media.
9. Your rights
Depending on the circumstances, you may ask for access to, correction or deletion of your information; restriction of processing; data portability; or object to processing based on legitimate interests. You may withdraw consent at any time. To exercise a right, email us using the address above. We may need to verify your identity.
10. Complaints and changes
Please contact us first if you have a privacy concern so we can try to resolve it. You also have the right to complain to the UK Information Commissioner’s Office at ico.org.uk. We may update this notice as our services or providers change; the latest version will remain on this page.
